Create or change your email signature in Outlook (web and desktop)

An email signature is the block of text (like your name and program) that Outlook can add to the bottom of your messages automatically. This guide shows you how to create or change it in Outlook on the web and in the Outlook desktop app.
Outlook on the web (https://outlook.office.com):
- Go to https://outlook.office.com and sign in with your full Jersey College email address and password.
- Click the gear (Settings) icon in the top-right corner.
- Choose Mail, then Compose and reply.
- In the Email signature box, type the signature you want. You can change the font, size, and add a link using the small toolbar.
- To give your signature a name, use the New signature option if it appears, then type your text.
- Below the box, choose when to use it: set your signature for New messages and for Replies/forwards if you want it added automatically.
- Click Save.
Outlook desktop app (Windows):
- Open Outlook and click File, then Options.
- Click Mail on the left, then click the Signatures button.
- Click New, give the signature a name (for example, Main), and click OK.
- In the Edit signature box, type your signature and format it as you like.
- On the right, under Choose default signature, pick this signature for New messages and for Replies/forwards.
- Click OK to save.
Outlook desktop app (Mac):
- Open Outlook and click the Outlook menu, then Settings (or Preferences).
- Click Signatures.
- Click the plus (+) sign to add a new signature and type your text in the box on the right.
- Use the Choose default signature options to set it for new messages and replies.
- Close the window to save.
Tips:
- If you are using the newer "new Outlook" for Windows, it uses the web-style settings: click the gear (Settings) icon, then Accounts, then Signatures.
- A signature you create on the web is separate from one you create in the classic desktop app. If you use both, set up your signature in each place.
- Keep it simple: your name, your program or department, and a way to reach you is plenty. Avoid pasting large images, which can get blocked for the people you email.
