Turn on Automatic Replies (Out of Office) in Outlook (web and desktop)

Automatic Replies (sometimes called Out of Office) let Outlook send an automatic message to people who email you while you are away. This guide shows you how to turn them on in Outlook on the web and in the Outlook desktop app.

Outlook on the web (https://outlook.office.com):

  1. Go to https://outlook.office.com and sign in with your full Jersey College email address and password.
  2. Click the gear (Settings) icon in the top-right corner.
  3. Choose Mail, then Automatic replies.
  4. Turn the Automatic replies switch On.
  5. (Optional) Check the box to Send replies only during a time period, then set a start and end date and time. With this set, Outlook turns the replies off automatically when the period ends.
  6. Type the message you want senders to receive in the box.
  7. If you also want to reply to people outside Jersey College, check Send replies outside your organization and type a message for them.
  8. Click Save.

Outlook desktop app (Windows):

  1. Open Outlook and click File.
  2. Click Automatic Replies (Out of Office). (If you do not see this button, use the web steps above instead.)
  3. Choose Send automatic replies.
  4. (Optional) Check Only send during this time range and set a start and end time.
  5. On the Inside My Organization tab, type your message.
  6. (Optional) Use the Outside My Organization tab to set a message for senders outside Jersey College.
  7. Click OK.

Outlook desktop app (Mac):

  1. Open Outlook and click the Tools menu at the top.
  2. Click Automatic Replies.
  3. Check Send automatic replies for account, then type your message.
  4. (Optional) Set a time period, and add a separate message for people outside Jersey College.
  5. Click OK.

To turn Automatic Replies off:

  • On the web: go back to Settings, then Mail, then Automatic replies, and switch it Off.
  • In the desktop app: click File, then click Turn off next to the Automatic Replies banner (Windows), or uncheck the box under Tools, then Automatic Replies (Mac).

Tips:

  • Setting a start and end time is the safest option, because Outlook turns the replies off for you when the time is up.
  • Automatic Replies turned on from the web also apply when you use the desktop app, because the setting lives on your mailbox.
