Print on campus / set up campus printing

This article explains how to print to a campus printer from a campus computer or your own laptop. Because printer names and locations vary by campus, you will need to get the exact printer name and location from the Help Desk or your campus front desk.

Printing from a campus computer:

  1. Open the document you want to print (for example in Word, Adobe Acrobat Reader, or your web browser).
  1. Press Ctrl + P, or click File and then Print.
  1. In the printer list, choose the campus printer. If you are not sure which one to pick, ask the Help Desk or the front desk for the correct printer name and where it is located.
  1. Set your options (number of copies, color or black-and-white, single- or double-sided) and click Print.
  1. Go to the printer to collect your pages. If you do not see them, see the troubleshooting tips below.

Printing from your own laptop (Windows 11):

  1. Make sure your laptop is connected to the campus Wi-Fi or network. See the Help Desk article on connecting to campus Wi-Fi if you need help.
  1. Ask the Help Desk or front desk for the printer name and how to add it. Some campuses have you add a printer by name; others provide a short setup step. Follow the instructions they give you.
  1. To add a printer in Windows 11: click Start, open Settings, choose Bluetooth & devices, then Printers & scanners, and click "Add device." Wait for it to search, then select the campus printer when it appears. If it does not appear, use the "Add manually" option and enter the details the Help Desk provided.
  1. Once the printer is added, open your document, press Ctrl + P, choose the campus printer, and click Print.

If your printout does not come out:

  • Confirm you selected the correct campus printer, not "Microsoft Print to PDF" or "Save as PDF."
  • Check that you are connected to the campus network or Wi-Fi.
  • Make sure the printer is powered on and has paper. If it shows an error or is out of paper, let the front desk know.
  • If you sent the same job several times, do not keep resending it. Extra copies may print once the issue is fixed. Ask staff before resending.

Tips:

  • Print only what you need to help conserve paper and toner.
  • Always pick up your pages promptly, especially if they contain personal information.
  • Printer names, locations, and any printing limits or costs are set per campus, so the Help Desk or front desk is your best source for those specifics.
